41. TRADE-IN OF LARGE FORMAT PLOTTERS AND SCANNER Pursuant to the Maricopa County Procurement Code, MC1-803, D.3., approve to trade-in two large format plotters/printers and one large format scanner to Thomas Reprographics. The trade-in credit of $8,730 from Thomas Reprographics will be used to purchase the new models as the existing units are outdated and in need of replacement. The total purchase price of the equipment including the 2-year warranty and preventive maintenance is $53,809. With the trade-in credit of $8,730, the net cost to the County is $45,079 plus applicable taxes. Maricopa County Department of Transportation has two large format plotters (Serial Numbers: SG32H1400P and ESA9821945) and one large format scanner (Serial Number: DK34211009) that are used extensively by the Engineering and Transportation Planning staff in the production of roadway design, displays, graphs and exhibits used in public and in-house meetings and presentations. However, age and advances with related equipment and software have caused the existing equipment to become obsolete, inefficient, run slow, and prone to breakdown. The trade-in credit will be applied towards the purchase of two new plotters/printers and one scanner that meets the large format printing and plotting needs of the staff. (C-91-11-204-M-00)

76. AMENDMENT TO TRADE-IN OF LARGE FORMAT PLOTTERS AND SCANNER Pursuant to the Maricopa County Procurement Code, MC1-803, D.3, approve to trade-in two large format plotters/printers and one large format scanner to CADD/Engineering Supply. The trade-in credit of $2,000 from CADD/Engineering Supply will be used to purchase the new models as the existing units are outdated and in need of replacement. The total purchase price of the equipment including the 1-year warranty and preventive maintenance is $35,185. With the trade-in credit of $2,000, the net cost to the County is $33,185 plus applicable taxes. On April 27, 2011, the Board approved Agenda Item C-91-11-204-M-00 that authorized the trade-in of two large format plotters/printers and one large format scanner to Thomas Reprographics. Materials Management determined, however, that a solicitation of quotes was necessary to obtain the best price. On May 18, 2011, Materials Management completed the solicitation of quotes and CADD/Engineering Supply was selected as the successful bidder for the equipment. (C-91-11-204-M-01)
