Arrington Watkin's original contract was based on a fee structure through the permit submision of the
Construction Documents (Phases 1 through IV). At that time it was unclear what the extent of the scope
would be for the Construction Administration Services would be so they wore not included, The
Construction Administration Services scope is outlined in the attached proposal dated March 9, 2017.

INSTRUCTIONS

Dear Donald:
Arrington Watkins Architects would like to request additional professional services fees for the above
referenced project. Per Arrington Watkins' (AW) original contract, our team developed a fee structure
through the permit submission of the Construction Documents (Phases I through IV). At the time of
scoping, it was not clear what the extent or duration of Construction Administration would be. Therefore,
CA fees were not included in our original purchase order. Based on schedule review with the contractor
we anticipate 32 months of construction and 3 months of close-out and as-built documentation for a total
of 35 months of construction administration.
Scope of Work
Included in Construction Administration Services are the following:
• Construction Administration Services:
o Office Construction Administration
▪ Distribution of all documents to Owner, Contractor, and/or Architects' field
representatives as required.
a Construction related communications.
Development, processing and issuance of Supplemental Documents:
supplemental instructions, addenda, conforming documents, clarifications,
construction change directives, proposal requests, and related construction
documents.
• Responding to, tracking, distribution, and reconciliation of; RFIs, field questions,
requests for clarifications, and related field questions
• Forwarding Owner's Instructions on the owner's behalf relative to changed
requirements and schedule revisions.
• Quotation Requests/Change Orders: preparations; review of quantities, costs,
and schedule; negotiations on behalf of Owner, coordination of approvals.
• Project schedule monitoring
• Construction Cost Accounting: maintenance of payment records, evaluation of
payment requests, review, and evaluation of expense data.

partial release of retainage or the making of final payments
• Issuance of Certificate(s) of Substantial Completion
• Inspection(s) upon notice by the Contractor that the Work is ready for final
inspection and acceptance
• Notification to Owner and Contractor of deficiencies found in the follow-up
inspection(s), if any.
▪ Final Inspection with the Owner's construction manager to verify final
completion of work.
Receipt and transmittal of warranties, affidavits, receipts, releases, and waivers
of lien or bonds indemnifying the Owner against liens.
▪ Securing and receipt of consent of surety or sureties, if any, to the making of
final payments(s).
▪ Issuance of final Certificate(s) for Payment.
o Post Construction Services

Record Drawings: obtaining Contractor as-builts, reviewing contactor as-builts
for general accuracy, updating CD electronic files, providing CADD record
drawings.
Warranty Review: Consultation on issues during warranty period in connection
with inadequate performance of materials, systems, and equipment, inspection
prior to expiration of warranty period (11-month walk), documenting defects or
deficiencies in preparing instructions to the contractor for corrective action
prior to close of warranty.
PROFESSIONAL FEE
Attached you will find a spreadsheet for professional services summary, and pages for each of our team
members. This proposal includes only hours that we associated with the extended scope of construction
administration as described in the scope of work. Should the need arise that additional support is
required, or additional scope is needed, an additional service fee will be developed based on standard
hourly rates for the respective individuals required to perform the work,
