REQUEST FOR COUNCIL ACTION

ACTION: Approve the utilization of a one-year Sourcewell cooperative contract with Konica Minolta 
Business for the purchase and maintenance of multi-functional copiers.
FISCAL IMPACT:  The total cost of this contract shall not exceed $300,000. Sufficient funds have 
been appropriated in various City-wide cost centers for the anticipated expenditures during the current 
fiscal year and next fiscal year, contingent upon City Council approval of the City’s annual budget. This 
contract is widely used throughout the City, and expenses are charged to approximately 60 different 
cost centers.
RECOMMENDATION:  Approve the utilization of the contract.
 
BACKGROUND INFORMATION:  (112124-KON) The contract with Konica Minolta Business is to 
purchase a wide variety of multi-functional copiers along with maintenance support services. The Konica 
Minolta equipment is highly rated for its durability, long life, and low maintenance requirements. There 
are approximately 50 copiers being utilized throughout the City. Many of these units are approaching 
end of life and will be gradually replaced as part of this contract authorization.
The Sourcewell cooperative purchasing program facilitates public procurement solicitations and 
agreements using a lead state model, which meets the City’s highest standard for public cooperative 
contracting, achieving acquisition of quality products and services at competitive pricing
