REQUEST FOR COUNCIL ACTION

ACTION:  Approve the utilization of one-year State of Arizona contracts with IES Communications; 
Technology Providers, Inc., Logicalis, Inc., BKW, and Immedia, for audio and visual equipment and 
related services to install, upgrade, and maintain technology in the City’s conference rooms and shared 
public spaces.
FISCAL IMPACT:  The total cost of these contracts shall not exceed $500,000. Sufficient funds have 
been appropriated in the General Governmental CIP Fund 6707229 (Desktop tech refresh/green) and 
other various departments as needed for the anticipated expenditures in the current fiscal year and next 
fiscal year, contingent upon City Council approval of the City’s annual budget.
RECOMMENDATION:  Approve the utilization of the contracts.
 
BACKGROUND INFORMATION:  (CTR075303, CTR075313, CTR075314, CTR075316, 
CTR075322) The State of Arizona competitively solicited and subsequently awarded contracts for audio 
and visual equipment and related services to multiple contractors. The contracts contain cooperative 
language allowing their use by other governmental agencies. These contracts will be used to maintain 
and repair existing City owned audio visual equipment and for the purchase of new and replacement 
equipment as needed.
Cooperative contracts for products such as audio and visual equipment have proven to be the more 
cost-effective purchasing approach for the City. By pooling the purchasing power of a multiple public 
entities (state agencies, participating municipalities, and schools) the State of Arizona was able to secure 
a favorable discount structure for utilizing entities
