Overview 
 
Jose Macias has requested a proposal for reengagement with CivicLens to provide up 
to fifty (50) hours per year of ad-hoc professional services and support for configuration 
and maintenance of the City’s GIS data and applications, with a period of performance 
commencing upon annual approval by the City Manager and ending when services are 
no longer necessary or the not-to-exceed price of $5,000 is reached in a given fiscal 
year (see terms). Potential services activities may include but are not limited to:  
1. Updates and maintenance of the City’s Master Internal GIS Application and data 
used by the application 
2. Updates and maintenance of the City’s Public-Facing GIS Application and data 
used by the application 
3. Updating Maricopa County parcel data in the City’s GIS ArcGIS Online 
organization and applications 
4. Caching and publishing of high-resolution aerial imagery collected by Maricopa 
Association of Governments to be used in internal and public-facing 
applications 
5. Updates and maintenance of the City’s Internal Property Information Lookup and 
data used by the application 
6. Mobile field data collection and/or work management application configuration 
7. Static map layout and printing 
8. Remote GIS training for City staff 
9. Other to-be-determined data and/or web application development 
Terms 
 
This document constitutes a formal quote from CivicLens, subject to the following 
conditions: 
 
1. This proposal does not bind either party to a services relationship for any given 
fiscal year. Services may be terminated at any time by either party by written 
request, after which no services will be performed or billed. 
2. This proposal assumes a not-to-exceed price of five thousand dollars ($5,000) 
per fiscal year. Services will be billed on a time-and-materials basis at $100 per 
hour. 
3. CivicLens reserves the right to refuse any activity or deliverable not specifically 
agreed to in a Professional Services Agreement signed by both parties. If the 
City wishes to define specific activities and/or deliverables prior to 
commencement of services, CivicLens will work with the City to draft a proposal. 
4. Invoices will be issued on the first of every month and are to be paid within 30 
days. Late payments are subject to a 10% fee.

5. Services activities outside the scope of this proposal include installation, 
configuration, or integration of any third-party systems and/or on-premises 
server infrastructure, including system architecture design, network 
administration, security review, or on-premises GIS application deployment.
