Brodart is pleased to provide this document in response to the City of Scottsdale’s request for 
proposal for Library Print and Audio Visual Materials for a three-year period with the option to 
renew for two additional one-year periods. We have reviewed the RFP and fully understand the 
needs and requirements of the Scottsdale Public Library. Brodart is bidding on LOT A – Print 
Materials. 
 
For over 80 years Brodart has been the premier supplier of circulation-ready materials to public 
libraries. We are a full-service library company that delivers carefully vetted selections of cataloged 
and processed titles. Today Brodart offers book leasing through our McNaughton Lease program, 
state-of-the-art online tools, bibliographic services and consulting exclusively to public libraries.  
 
Demonstrating our ongoing commitment to being the best supplier of shelf-ready print material, 
Brodart has once again set the standard for custom cataloging by launching a revolutionary line of 
cataloging and processing services which is superior to anything in the industry:

In 2011 Brodart launched “Flex” to deliver a missing level of cataloging service to a major 
section of the public library market – offering the highest level of customization available 
in an automated solution.

In 2015 Brodart launched a new “Compleat Service” with a new methodology in order to 
offer more options and faster service to our public library customers. 
 
 
Brodart is responding to this RFP with our Compleat Cataloging methodology as it will meet all of 
your requirements for all of your collections.  
 
Our Brodart Requirement Evaluation Team took the liberty of further evaluation of the Scottsdale 
RFP requirements in conjunction with the spectrum of cataloging services Brodart offers.  We often 
take these extra steps in an effort to further provide cost savings options to the library for further 
consideration beyond what is normally requested in an RFP.   Brodart offers a full spectrum of 
services and it’s not uncommon for us to find areas of a collection that can be handled in a

complimentary level service offering faster delivery and/or significant cost reduction without 
sacrificing requirements.    In our evaluation we focused primarily on your Adult Fiction 
requirements and found our Flex Service would be a perfect fit.   There are other collections that at 
first glance could fit within Flex however we would need additional information or have some 
additional questions.   
 
We have many customers who take advantage of our Flex Service in conjunction with our Compleat 
Service to expedite delivery of material and as a cost saving measure to reduce cataloging costs 
across the collection.  Flex has the most flexible, robust and impactful programming available in the 
industry today and enhancements are added on a daily basis to meet our customers’ customized 
requirements.   We often recommend a mix and match of services between Compleat Service and 
Flex to help assist the library with saving money and taking full advantage of our complete 
spectrum of shelf ready services.

A. INTENT 
 
The intent of this Request for Proposal (RFP) is to establish multiple sources of supply for books and 
audio visual  materials to be used as circulating and reference materials at Scottsdale Public Library 
This RFP is for books and audio visual materials and corresponding value added services and does 
not encompass e-materials, periodicals or other library resources such as databases. The Library 
intends to have the contractor(s) provide shelf-ready value-added services including cataloging and 
processing for most of the purchases. The shelf ready materials will be cataloged and processed by 
the contractor(s) in accordance with Exhibit A: Scottsdale Public Library Cataloging and Processing 
Vendor Manual. The City intends to award contracts to multiple vendors that can satisfy the Library’s 
requirements at the time orders are placed. The Library’s orders will be allocated among contracted 
vendors based upon inventory availability, quality of cataloging and processing, turnaround time and 
price. For any items or services not able to be satisfied by Awardees, the City reserves the right to 
utilize any publisher, dealer, or distributor outside of any award made from the solicitation.   
The Scottsdale Public Library system consists of four libraries. The Library’s physical collection 
includes more than 365,000 items.  All items purchased will be delivered FOB, inside delivery, to the 
loading dock of Civic Center Library, 3839 N. Drinkwater Blvd. Scottsdale, AZ 85251. 
The Library’s estimated FY20/21 budget for this contract is expected to range between $300,000 - 
$500,00.  The FY19/20 annual budget was $600,000; however due to the 2020 pandemic budgets 
have been reduced and future budgets are uncertain at this time. Therefore, this information is not to 
be construed as a guarantee from the City to purchase this amount of library materials annually, 
rather, it is an estimate to aid the Offeror in the preparation of this bid and internal planning. 
Only those Offerors with experience and expertise in the sale of materials to library will be considered. 
The financial scale and importance of this contract requires that proposals be submitted from Offerors 
who are established wholesale suppliers with current urban public library accounts.  Contractors must 
have proven operational results and performance ability. The Library uses Innovative Interfaces’ 
Polaris integrated library system (ILS) and the contractor’s acquisition processes must 
integrate with Polaris via EDI for an offeror to be considered for this contract.  
Pricing quotes for print and audio visual materials have been separated into Lots. Lot A is for print 
materials and Lot B is for audio visual materials. Various categories of print and audio visual materials 
are listed within the specifications.  An Offeror is not required to offer all categories. Offerors may 
submit a proposal for Lot A and/or Lot B. 
 
B. PRICING 
 
The Offeror is encouraged to offer additional pricing for related items, products and services, which are 
not specifically addressed as line items in this Solicitation but are directly related to print and non-print 
library materials.  A description of these additional products and services with pricing should be noted 
separately within the Offeror’s submittal document.  Please include services such as leasing, buy-back 
programs and authority control.  If leasing services are available, the quote should be based on a 
purchase of 4,000 copies annually.    
Pricing shall be calculated as a percentage discount applied against publisher retail price list (i.e. 
twenty-five percent [25%] off of list price). The discount structure quoted by the Offeror shall be 
applicable during the entire term of the contract, including all applicable extensions. The prices listed 
on the Pricing Proposal Form pages MUST reflect the pricing discount structure contained within this 
solicitation.

Brodart orders from our publishing partners on a daily basis for any title not in stock – we do not require minimum purchases in an effort to order larger quantities from our publishing partners which 
can often result in delayed publisher ordering and delivery.  Because of our close proximity to the major publishers in New York and the surrounding area we take pride in our ability to order and 
receive much faster than our competitors who have warehouses further away.

1.
ACCEPTANCE / AGREEMENT
Contractor shall act under the authority and approval of the Contract Administrator for the City,
further named herein, to provide the services required by this Contract.
If for any reason the Offeror should fail to accept in writing, any conduct by Offeror which
recognizes the existence of a Contract/Agreement pertaining to the subject matter hereof shall
constitute acceptance by Offeror of the Contract/Agreement and all of its terms and conditions.
Any terms proposed in Offeror's acceptance of City's Contract which adds to, varies from or
conflicts with the terms herein are hereby rejected by the City.  Any such proposed terms shall be
void and the terms herein shall constitute the complete and exclusive statement of the terms and
conditions of the Contract/Agreement between the parties.
2.
CONTRACT ADMINISTRATION
The Contract Administrator for the resulting contract shall be the Library Senior Manager, Support
Services, or designee.
The Contract Administrator, as identified in the Statement of Need shall audit the billings, approve
payments, establish schedules, approve addenda to the contract, and generally be responsible
for overseeing the execution of the contract.
3.
DELAYS AND EXTENSIONS
During the course of this Contract, if deemed in the best interest of the City of Scottsdale, an
extension of time may be granted.  However, any time extension so granted shall not constitute
or operate as a waiver by the City of Scottsdale of any of its rights herein.
4.
FREIGHT
All shipments of goods covered under the scope of this Contract are F.O.B. City of Scottsdale.
All standard freight and/or delivery charges shall be included in the unit pricing quoted/bid herein.
The only allowable freight and/or delivery charges shall be if the Contract Administrator
specifically requests other than standard freight and/or delivery (e.g., overnight delivery, etc.).
Special freight charges shall be quoted to and authorized by the Contract Administrator prior to
invoicing.
5.
INSURANCE REQUIREMENTS
Insurance Representations and Requirements
General
Contractor agrees to comply with all applicable City ordinances and state and federal laws and
regulations.

Without limiting any obligations or liabilities of Contractor, must purchase and maintain, at its own 
expense, this Contract’s stipulated minimum insurance with insurance companies properly 
licensed by the State of Arizona (admitted insurer) with an AM Best, Inc. rating of B ++ 6 or above 
or an equivalent qualified unlicensed insurer by the State of Arizona (non-admitted insurer) with 
policies and forms satisfactory to City of Scottsdale.  Failure to maintain insurance as specified 
may result in termination of this Contract at City of Scottsdale’s option. 
No Representation of Coverage Adequacy 
By requiring the insurance stated in this Contract, the City of Scottsdale does not represent that 
coverage and limits will be adequate to protect Contractor.  City of Scottsdale reserves the right 
to review any and all of the insurance policies and/or endorsements required by this Contract but 
have no obligation to do so.  Failure to demand any evidence of full compliance with the insurance 
requirements stated in this Contract or failure to identify any insurance deficiency does not relieve 
Contractor from, nor may it be construed or considered a waiver of Contractor’s obligation to 
maintain the required insurance at all times during the performance of this Contract. 
Coverage Term 
All insurance required by this Contract must be maintained in full force and effect until all work or 
services required to be performed under the terms of this Contract are satisfactorily performed, 
completed and formally accepted by The City of Scottsdale, unless specified otherwise in this 
Contract. 
Claims Made 
In the event any insurance policies required by this Contract are written on a “claims made” basis, 
coverage shall continue uninterrupted throughout the term of this Contract by keeping coverage 
in force using the effective date of this Contract as the retroactive date on all “claims made” 
policies.  The retroactive date for exclusion of claims must be on or before the effective date of 
this Contract and can never be after the effective date of this Contract.  Upon completion or 
termination of this Contract, the “claims made” coverage shall be extended for an additional three 
(3) years using the original retroactive date, either through purchasing an extended reporting
option; or by continued renewal of the original insurance policies.  Submission of annual
Certificates of Insurance, citing the applicable coverages and provisions specified herein, shall
continue for three (3) years past the completion or termination of this Contract.
Policy Deductibles and or Self-Insured Retentions 
The policy requirements may provide coverage which contains deductibles or self-insured 
retention amounts.  Any deductibles or self-insured retention are not applicable to the policy limits 
provided to City of Scottsdale.  Contractor is solely responsible for any deductible or self-insured 
retention amount.  City of Scottsdale, at its option, may require Contractor to secure payment of 
any deductible or self-insured retention by a surety bond or irrevocable and unconditional letter 
of credit. 
Use of Subcontractors 
If any work under this Contract is subcontracted in any way, Contractor must execute a written 
agreement with Subcontractor containing the same Indemnification Clause and Insurance 
Requirements as stated in this Contract protecting City of Scottsdale and Contractor.  Contractor 
will be responsible for executing the agreement with Subcontractor and obtaining Certificates of 
Insurance verifying the insurance requirements.  
Evidence of Insurance and Required Endorsements 
Before starting any work or services under this Contract, Contractor must furnish City of 
Scottsdale with Certificate(s) of Insurance, or formal endorsements as required by this Contract, 
issued by Contractor’s insurer(s) as evidence that policies are placed with acceptable insurers as 
specified in this Contract and provide the required coverage, conditions, and limits of coverage 
and that this coverage and the provisions are in full force and effect.  If a Certificate of Insurance 
is submitted as verification of coverage, City of Scottsdale will reasonably rely upon the Certificate 
of Insurance as evidence of coverage, but this acceptance and reliance will not waive or alter in

any way the insurance requirements or obligations of this agreement.  If any of the above cited 
policies expire during the life of this Contract, it is Contractor’s responsibility to forward renewal 
Certificates within ten (10) days after the renewal date containing all the aforementioned 
insurance provisions.  Certificates must specifically cite the following provisions endorsed to the 
Contractor’s policy:

City of Scottsdale, its agents, representatives, officers, directors, officials and employees must
be named an Additional Insured under the following policies:
a)
Commercial General Liability
b)
Auto Liability
c)
Excess Liability - Follow Form to underlying insurance as required.
2.
Contractor’s insurance must be primary insurance as respects performance of subject
contract.
3.
All policies, except Professional Liability Insurance, if applicable, waive rights of recovery
(subrogation) against City of Scottsdale, its agents, representatives, officers, directors,
officials and employees for any claims arising out of work or services performed by Contractor
under this Contract.
4.
If the Contractor’s receives notice that any of the required policies of insurance are materially
reduced or cancelled, it will be Contractor’s responsibility to provide prompt notice of same to
the City, unless such coverage is immediately replaced with similar policies.
Required Coverage 
Commercial General Liability 
Contractor must maintain “occurrence” form Commercial General Liability Insurance with a limit 
of not less than $1,000,000 for each occurrence, $2,000,000 Products and Completed Operations 
Annual Aggregate, and a $2,000,000 General Aggregate Limit.  The policy must cover liability 
arising from premises, operations, independent contractors, products-completed operations, 
personal injury and advertising injury.  If any Excess insurance is utilized to fulfill the requirements 
of this section, the Excess insurance must be “follow form” equal or broader in coverage scope 
than underlying. 
6.
INVOICING
All invoices submitted for work done under the scope of this Contract MUST BE ITEMIZED.
Itemized invoices shall contain a MINIMUM of the following information as stated above in Item
5.0 Invoicing & Shipping.
The Contractor shall submit invoices with all supporting documentation within thirty (30) days after
the service/work is completed and approved by the Contract Administrator.
7.
MULTIPLE AWARDS
If deemed to be in the City of Scottsdale’s best interests, the City reserves the right to award
multiple Contracts as a result of the solicitation process.
8.
PRICE ESCALATION
Price for services such as cataloging, and processing shall be listed on the Pricing Proposal Form
as a set cost per item. Prices quoted by the Offerors shall be applicable during the entire initial
term of the Contract.
A change in pricing for services such as cataloging and processing shall be requested by the
Contractor, a maximum of sixty (60) days prior to the annual anniversary date of the Contract.
Failure to do so may result in the denial of any increase requested.

A requested price increase will become effective only after approval by the Contract Administrator 
and the Purchasing Director or designee.  Approved price increases will be applied to the unit 
pricing in the Contract as a percentage increase.  
The percentage increase in the unit pricing may not exceed the percent in the U.S. City Average 
“Consumer Price Index” (C.P.I.) All Items, 1982-84=100 for All Urban Consumers for the 
Percentage Change from the previous twelve (12) months, as published by the U. S. Department 
of Labor Bureau of Labor Statistics.  This can be found at: www.bls.gov/cpi/ 
A change in pricing for print and audio visual materials may be requested by the Contractor, sixty 
(60) days prior to the annual anniversary date of the Contract.  The ONLY allowable change in
pricing shall be an update of the publisher retail price list.  The price sheet structure MUST remain
the same and the ONLY change the Contractor can request in regard to pricing is to replace the
previous publishers retail price list.  No change to the discount percentage shall be allowed.
Updated price list sheets will become effective upon the new contract period.  Failure to request
a price sheet change in the timeframe specified herein may result in the denial of any increase
requested.
9.
PRICING
Pricing shall be listed on the Pricing Proposal Form. Prices quoted by the Offeror shall be
applicable during the entire initial term of the Contract.
For reasons of clarity all submissions of pricing shall be priced in the same unit (size, volume,
quantity, weight, etc.) as requested on the Pricing Proposal Form herein.  Offerors failing to
comply with this requirement may be declared non-responsive.
All charges associated with this Contract MUST be shown on the Pricing Proposal Form returned
by the Offeror or other supporting documentation.  Any charges not listed on the Pricing Proposal
Form or supporting documentation submitted with the Offeror’s proposal response shall not be
allowed during the Contract period and any applicable extensions.
Unit prices quoted herein shall be all inclusive and include all pertinent additional fees normally
associated with this type of service.  This shall include, but not be limited to, environmental fees,
shop supplies, clean-up, transportation, etc.  No additional charges beyond the quoted unit price
(except applicable sales tax) shall be allowed, unless authorized by the Contract Administrator
before final invoicing.
Unit prices quoted shall be applicable for any quantity ordered by the City of Scottsdale or
differentiated on the Pricing Proposal Form or other supporting documentation.
10.
PURCHASING PROCEDURE
All orders require a City of Scottsdale purchase order that will be communicated by phone, fax or
e-mail.  No parts or commodities or work shall be rendered/are to be delivered without the
issuance of a City of Scottsdale purchase order.  Any invoices received from the Contractor
without a City of Scottsdale purchase order number, referenced on the invoice, may remain
unpaid.
All shipments from the Contractor shall contain a priced packing slip or invoice.  Shipments will 
be checked in by City Staff only.  All priced packing slips must match the final invoice sent to the 
City of Scottsdale’s Accounts Payable department. 
11.
QUANTITY
The Library’s estimated FY20/21 budget for this contract is expected to range between $300,000
- $500,000 for both library print and audio visual materials.

Actual purchases will vary based on the needs of the City. Actual service requests, and service 
requests for future years may be more or less, and any quantities listed herein should be used for 
informational purposes only.  
 
The Items herein are indicative to the types and quantities of library print and audio visual 
materials currently utilized by the City of Scottsdale.  The list is not to be construed as the 
complete inventory utilized by the City of Scottsdale and is not to be construed as requiring the 
City of Scottsdale to purchase any specific items or quantities.  The list of items and quantities as 
stated on the Pricing Proposal Form are furnished to aid the Bidder in internal planning and as a 
basis of award. 
 
12. 
TERM OF AGREEMENT  
 
The initial term of this Contract shall be a three (3) year period from the effective date of the 
contract award. 
 
The City and Contractor may mutually agree to extend this Contract for two (2) additional one (1) 
year periods, upon the recommendation of the Contract Administrator, concurrence of the 
Purchasing Director and/or City Council, depending on the Contract. 
 
13. 
THIRD PARTY BENEFICIARY 
 
Nothing under the Contract Documents will be construed to give any rights or benefits in the 
Contract Documents to anyone other than the City and the Consultant, and all duties and 
responsibilities undertaken in accordance with the Contract Documents will be for the sole and 
exclusive benefit of the City and the Consultant and not for the benefit of any other party. 
 
14. 
UNPREDICTABLE MARKET CHANGE 
 
In the event of an unpredictable change in the market, which affects the then current Contract 
price, Contractor may submit justification for a price adjustment.  Contract Administrator and 
Purchasing Director shall review justification and determine applicable price adjustment.  Upon 
return to normal market conditions, the price will be adjusted to the price established by the 
original Contract terms. 
 
The Purchasing Director shall be the final authority on any price adjustment due to unpredictable 
market change. 
 
15. 
WARRANTY REQUIREMENTS 
 
All workmanship and materials provided under the scope of this solicitation shall be warranted for 
a MINIMUM of twelve (12) months or as identified in the Statement of Need.  
 
ALL WARRANTIES SHALL START FROM THE CITY OF SCOTTSDALE IN SERVICE DATE. 
 
All warranty items/issues/concerns shall be resolved at no charge to the City of Scottsdale.  This 
shall include, but not be limited to, parts, labor, freight, travel, etc.  All warranty 
items/issues/concerns shall be resolved within a time frame determined by the Contract 
Administrator.

pages should be kept to a minimum.  Offerors are reminded that the Evaluation Committee’s ability to 
evaluate the proposals is dependent upon the organization, detail and readability of the submittal 
documents.  A clear, complete and adequate response is very important.  Please format your response 
to correspond with the areas listed below in the order they are listed below. 
To constitute a valid responsive bid by the Bidder to this solicitation, the Bidder’s submittal MUST include

Firm and Staff Qualifications 
The Offeror shall submit a Firm and Staff Qualifications document which illustrates the Offeror’s 
understanding of the objectives of this solicitation, as well as the qualifications, experience, 
training and other credentials that illustrate the Offeror and employee’s abilities to successfully 
complete the scope of work represented in this solicitation.   
The Firm and Staff Qualifications documents shall include, at a MINIMUM, the following items: 

Offeror’s document shall contain a synopsis of the firm’s history, including a statement
indicating the length of time the Offeror has been doing business with urban public library
accounts within and outside the Phoenix/Scottsdale Metropolitan area.

Offeror’s document shall demonstrate previous experience performing work similar to the
size and scope of the work identified herein.

Offeror’s document shall demonstrate an understanding of the goals identified herein for
this contract and provide a basic overview for the accomplishment of these goals.

Offeror’s document shall identify the key issues and potential obstacles with respect to the
scope of work identified herein.  Offer’s documents should provide a basic methodology to
address and overcome all identified issues and obstacles.

Offeror’s document shall contain a comprehensive description of all services that shall be
provided.

Offeror’s document shall contain an organizational chart that identified key project personnel
by name, title and contact information.
Offeror Services Capabilities Questionnaire (COS Form) 
Offeror shall fully complete and submit with proposal Offeror’s Services Capabilities 
Questionnaire including any exceptions to the City’s requirements for service capabilities. All 
exceptions shall be clearly explained. Reference the corresponding Scope of Work/Services or 
Specifications that the Offeror is taking exceptions/deviations to.

Offeror shall fully complete and submit with proposal Offeror’s Inventory form provided herein. 
Exceptions – Offeror shall include all exceptions taken in regard to the terms and conditions as 
specified in this solicitation document, any award documents, or attached contracts.  All 
exceptions taken by the Offeror shall be clearly defined and the changes requested clearly 
identified in their submittal document.  Exceptions taken by the Offeror shall be used in the

Brodart provides a comprehensive range of books necessary to meet public library needs. For the past 80

distribution facility manages annual public library demand for over five million items from more than 50,000 
publishers. Our inventory includes public library relevant English and Spanish new releases and retrospective

Brodart strives to maintain high levels of print material across all collections and with a depth of titles and 
quantities to meet public library needs including opening day collections. Brodart orders from our 
publishing partners on a daily basis for any title not in stock – we do not require minimum purchases in an 
effort to order larger quantities from our publishing partners which can often result in delayed publisher 
ordering and delivery.  Because of our close proximity to the major publishers in New York and the 
surrounding area we take pride in our ability to order and receive much faster than our competitors who 
have warehouses further away.  We also count on these relationships to ensure that our inventory is fully 
supported in a timely manner. 
 
Brodart's purchasing profiles are specially formulated to meet the needs of the public library market. We 
order material from publishers daily to ensure our customers receive their orders quickly and efficiently. 
Our state-of-the-art fulfillment system ensures rapid turnaround time for all titles. Because we have all 
our resources centralized in one location, we can efficiently and effectively process, fill and ship orders. 
Our algorithm for success allows us to deliver fill rates of greater than 98% for available titles.

translations of English titles. Spanish titles are available fully cataloged and processed.

custom-collection development lists are readily available for quick selection. Access to this powerful list-
building and ordering tool is provided at no charge for an unlimited amount of users in your organization, 
inclusive of brief MARC on-order records with customization, access to full text reviews and full grid

Creating the “ultimate collection” isn’t a small task. There are many factors to be considered. At 
Brodart, we began providing collection development products and services in 1982. Many of our 
Collection Development Services such as TIPS, FASTips, Collection Builder and vendor selection 
services are industry leaders. We currently provide many public libraries with an array of specialized 
Collection Development Services for both ongoing and opening day collection needs: 
TIPS (Title Information Preview Service) Notification Program  - delivers selection lists for new and 
forthcoming titles. Choose from two service levels –

Silver TIPS - every month receive free curated lists spanning an array of subjects and 
age ranges. Choose the lists that interest you and they will be automatically posted to

Standing Orders – whether it’s authors/series you can’t live without or staying current with annual

test prep and travel guides. These Standing Order services are offered free of charge to our customers. 
 
FASTips® - Automatic Shipment Plan 
 
Brodart offers standing orders for popular adult and youth fiction and nonfiction through FASTips 
(Frequent Author & Series TIPS). The profiling is very flexible and can accommodate unique needs. 
 
Most FASTips orders are based on author or series lists. Brodart offers the following lists to assist the

When setting up a FASTips profile the library first selects the authors, series, or other criteria desired. 
Then other parameters are established for the automatic order including format (bind preference), 
classification, age range, material types, and maximum price. The library also sets the timeframe for 
ordering. Three months prepublication is the current standard. 
 
Orders can be prepared by Brodart and delivered to the library via Bibz with grids applied for 
branch, quantity, and other grid values. Brodart can submit the order via Bibz or share the list to 
library staff for review and modification if needed.  Orders can then be submitted by the library via 
Bibz or downloaded as MARC files for import into Polaris for EDI ordering. After the orders are 
submitted, they are visible with status information through the Order History tab of Bibz. 
 
Continuations – Standing Orders for True Serials 
 
Brodart's Continuations Service is designed to meet your complete reference and serial titles needs. 
You receive prompt, accurate fulfillment and because of our extensive coverage, your need to 
research hundreds of titles each year is eliminated. Brodart maintains constant communication with 
over fifty thousand publishers and distributors. Our title file is updated daily, ensuring that the title 
status information you receive from Brodart's Continuations Department is the most up-to-date 
available. Our core list of Continuations contains over 6,000 titles. 
 
Some of the key features of Continuations include: 
 
• Receive your Continuations material fully cataloged and processed, with processing only or as 
items only. 
• Serial maintenance is made easier when you use our free monthly status reports and skilled 
personal assistance. To simplify establishing a standing order account, we offer you a full

• Brodart's Continuations Service offers an Alternate Year Program, which can be tailored to

• All cancellations are effective immediately upon receipt by the Continuations Department. 
 
A monthly status report is supplied to you at no extra cost so you may quickly and effectively monitor 
your standing orders. This report lists every series and serial on your standing order. Editions or 
volumes on order or recently shipped titles are listed accordingly. Publications which are delayed by 
the publisher show a status of "on order." Brodart's Continuations Department automatically 
contacts the publisher for updated status information of "on order" materials to assure timely 
delivery of these items. 
 
As a Continuations customer, each month you will receive an electronic newsletter reporting the 
latest updates in title/bind changes, series discontinued, series completed and items to be ordered 
directly from the publisher. The newsletter keeps you informed about any changes that would affect 
your standing order. 
 
Taking advantage of Brodart's Continuations Service is easy. Simply list the titles to be ordered with 
starting volumes, years or editions and the desired quantities. Once Brodart receives your standing 
order titles we will set up your account and begin ordering the titles from the various publishers. 
 
To make it easy to transfer to Brodart's Continuations Service, we will also send a cancellation notice 
to your former supplier. You need only indicate in writing which titles are to be cancelled, your 
account or purchase order number and the name of the supplier. The Continuations staff works with 
your library during this transition period to assure a smooth transfer of all standing orders. 
 
The Continuations Department personnel are dedicated professionals who are knowledgeable about 
all aspects of the Continuations Service. They take pride in providing prompt and accurate responses 
to any questions. Each library is assigned their own Continuations Consultant. That individual will 
stay in close contact with the responsible person at the library to ensure optimum service. 
 
TitleQueue 
TitleQueue.com, Brodart’s online Continuations tool, gives access to account details regarding 
subscriptions to serials and series. You can search for titles and update subscription information to 
add standing order titles or change current settings. You can also access order confirmations, report 
claims and request additional copies of invoices. There are many search options, including ISBN, 
title, series title and publisher. 
 
Collection Builder® Custom Selection Lists 
 
Brodart has identified more than 400 recommended bibliographies, review journals, and other 
sources, and has indexed them in our up-to-date title database. This extensive resource enables us to 
produce custom selection lists for a wide range of collection development needs such as collection 
building in specific areas, coordinated replacement ordering, or planning opening day collections. 
• These comprehensive selection lists present the titles in shelf-list order for a systematic

approach to collection development. 
• Each citation on the selection list includes call number, author, title, publisher, date, price, 
ISBN, bind, descriptors, media, age range, title status, review citations, and the sources which

• It is easy to review the titles and make your selections in Bibz. 
 
• To request a selection list, tell us the subject to be covered, age levels, types of bindings, 
publication dates, and other pertinent information. We may provide a profile to walk you 
through the process. 
• Prepared selection lists are typically delivered within one week. These custom selection lists 
are provided free of charge in Bibz to active Brodart customers with the understanding 
that any titles ordered from these lists are to be ordered from Brodart. 
 
Specialty Collection Development Lists 
 
The TIPS profiles described above provide regularly scheduled lists of current fiction and nonfiction. All 
of those profiles would be developed by the library selectors. 
 
In addition to profiled TIPS lists, library selectors have access to hundreds of specialty lists from which 
to choose. Not only are the lists separated into age ranges and categories, they can also be filtered for 
custom searches to help you find exactly what you’re looking for. These lists contain topics of interest 
to public libraries and are updated on a regular basis. They are available free of charge to all Bibz 
users.

All of the selection lists created by Brodart will be posted to Bibz for selection and ordering. Bibz 
displays item status such as “in stock quantity”, “on order quantity”, “publisher in stock quantity”, 
“available from publisher” or “must order direct”. Bibz can also display discounted price and keep 
a running total for each list. Full-text reviews are available for all of the major library review 
journals free of charge. 
 
The Bibz.com database is updated with new titles, title status, price information, and new data (such 
as cover images and full text reviews) on a daily basis. Inventory status shows unallocated inventory. 
Publisher inventory is also displayed for participating publishers.

Please note orders placed for items not in Brodart’s inventory are ordered immediately from the 
appropriate publisher. Our order fulfillment system places orders with all publishers on a daily basis 
via FTP or email. In order to provide the fastest possible service to our libraries, we do not require 
minimum order quantities and we do not accumulate customer orders to meet a minimum order 
quantity. This policy allows us to fill orders quickly and efficiently. Prepublication orders are 
encouraged since this allows the materials to be sent to the library as soon as they are available from 
the publishers.

Additional Bibz Functionality 
 
Sort sequence: Titles in search results and lists default to Title/Author sequence and can be resorted 
according to your preference. 
 
Duplicate checking: Bibz provides automatic duplicate checking against all your lists and orders. Icons 
indicate whether the title is in another list or on a submitted order. In addition, these icons link directly to 
Duplicate Detail screens. Duplicate check options are also available when adding a title to a list. The user can 
set the preference for the level of duplicate checking (e.g. do not alert on duplication, check for duplicates in 
the target list by ISBN, check for duplicates in all lists by ISBN, etc.). In addition to these features, it is also 
possible to check duplicates for an entire list. 
 
Library Holdings Interface:  When viewing your selection lists through Bibz an “H” icon will serve as an 
indication that the title is in the Library’s public catalog.  There are two types of holdings interfaces available 
in Bibz:

Smart Holdings Interface: If your Polaris system is Z39.50 enabled, “Smart Holdings” will 
automatically search every title on your selection list and only display the

Brodart enters the accounts, processing profiles, and branch locations. The library would control the values 
that are loaded for the grids for collection codes, item types, and funds. There is not a limit to the number of

Placing Orders 
Brodart will set up accounts for your library based on your specifications and provide as many accounts as 
required. You may add new accounts, delete old accounts, or change the name and address information. 
Multiple ship-to accounts will be linked to the appropriate bill-to account. Each ship-to account will include a 
five-line address and account number. The information will link to related cataloging and processing 
specifications. 
 
Rush accounts can be established for ordering materials that are time-sensitive. Advanced orders can be 
placed 6 months or more before publication date. Orders for special events can be monitored by your 
Account Manager to ensure on-time delivery for your event.

Brodart’s Compleat cataloging service provides book-in-hand cataloging and item level processing 
for English and Spanish-language material. Brodart will access your Polaris database via Z39.50. Our 
cataloging workflow begins with Brodart searching your cataloging database to determine if a 
matching bibliographic record is present. If a matching bibliographic record is found in the 
database, we will use Z39.50 functionality to save the record to a local file. Your local 092 or 099 tag 
will be used to create a call number for added copies. A holdings tag will be created for each item 
being added to the collection following your Polaris system’s MARC holdings tag mapping. 
When new cataloging is required, Brodart catalogers will review, modify, and upgrade existing OCLC 
bibliographic records or Brodart Resource Records.  When no record is located we will provide 
original cataloging to meet your local practices.  A local call number meeting your classification 
procedures will be added to the 092 or 099 tag.  Next a holdings tag will be created for each item 
being added to the collection following your Polaris system’s MARC holdings tag mapping.

Brodart Cataloging Resources and Standards 
Brodart’s librarians are completely committed to book-in-hand cataloging. Our comprehensive, accurate 
MARC records are created to meet your library’s unique cataloging and classification requirements.  
 
With our Compleat cataloging service we can provide either an OCLC record or a Brodart Resource 
Record.  With either resource all cataloging records are upgraded to meet your local requirements 
and holdings will be updated in OCLC.  Brodart original and copy cataloging records conform to 
current U.S. cataloging standards, including RDA.   
 
For Brodart Resource Records we utilize the Library of Congress as our primary resource. When a 
Library of Congress record is not available, we create an original cataloging record. You can be 
assured that you will receive full-level, high quality cataloging records for your material. All of our 
original cataloging records are created according to National rules and standards. 
 
We base our descriptive cataloging on RDA (Resource Description and Access) and the accompanying 
Library of Congress-Program for Cooperative Cataloging Policy Statements (LC-PCC PSs) or AACR2r 
(Anglo- American Cataloging Rules, 2nd edition revised) and accompanying Library of Congress Rule 
Interpretations. When an RDA record is available, we accept and modify the record according to RDA; 
when an AACR2r record is available, we accept and modify the record according to AACR2r. When 
both an RDA record and an AACR2r record are available, we will choose the RDA record and modify 
the record according to RDA. If no record is available, we catalog according to RDA. 
In addition, we use Library of Congress Subject Headings, latest edition, Dewey Decimal 
Classification, 23rd edition, MARC 21 specifications and Guidelines on Subject Access to Individual 
Works of Fiction, Drama, Etc, (GSAFD, 2nd Edition). We adhere to the Library of Congress rules for 
both MARC format and authority control. 
 
Our original cataloging records also incorporate the following Brodart standards:

Brodart’s Compleat option will meet all of your requirements for all of your collections.  With an initial 
evaluation based on the requirements provided Flex will meet all of your Adult Fiction requirements.  
We feel strongly that we can find additional collections where Flex will fit however we need additional 
information or we have additional questions.  The advantage of blending Flex into your consideration is 
faster delivery and a lower price point on parts of your collection while enabling Compleat Serv to meet

Brodart stocks materials according to public library demand. Material can be ordered 6 months or 
more prior to publication date. Items ordered pre-publication or not in Brodart’s inventory will be 
ordered immediately from the appropriate publisher. Our order fulfillment system places orders 
with all publishers on a daily basis. 
 
In order to provide the fastest possible service to our libraries, we do not require minimum 
order quantities and we do not accumulate customer orders to meet a minimum order 
quantity. This policy allows us to fill 85% of all customer back orders in 3 weeks, with overall 
fill rates of greater than 98% of available titles. 
 
Street Dates 
Brodart understands the importance of receiving pre-publication materials prior to street release 
date. Our policy is to catalog, process and ship books immediately upon receipt from the publisher. 
As a result, the library should receive popular titles prior to street date. Please note shipment of pre-

published titles is dependent upon when these titles are received at Brodart from the publisher. 
Because these items arrive at the library on or before the street release date, we ask that our 
customers have policies in place to ensure that they are not released to the public prior to this 
date.  The street release date will be clearly identified on your packing list. 
 
Packaging and Marking of Shipments 
Each carton will weigh no more than 30 pounds.   Cartons are labeled with the account type 
and the number of cartons in the shipment, so that when they arrive at the library the 
account type can be clearly identified. The shipping label includes the account name, 
purchase order number and packing slip number and is applied to the top of each box. 
 
We take special care when packing your order. Brodart’s boxes are made of heavy corrugated 
cardboard and are extremely durable. Larger items are packed first, then smaller ones and are 
packed spine-to- spine to prevent damage. The number of items, their thickness, and weight 
determine the size of the box used for packaging. Boxes are filled with thin newspaper-type  
packing paper. Self-adhesive shipping labels are applied to the top of every box. Boxes are 
sealed with tape that is constructed of paper, string, and glue. Boxes within a shipment are 
numbered (i.e. 1 of 6, 2 of 6, etc.) and indicated on the top of each box. 
 
Shipping and Delivery 
Brodart's single inventory location in Williamsport, Pa. enables us to fill orders quickly and 
efficiently. Shipments are sent via best method (common carrier, USPS, or UPS Ground) F.O.B. 
destination from our warehouse to the branch libraries. 
 
Advanced Shipping Notification 
Brodart is able to support a library’s Advanced Shipping Notification 
(ASN), carton-level receiving process which provides efficiencies to 
the library by eliminating the scanning of individual items.  The 
library’s ILS system must support the EDI 856 ASN standard protocol. 
 
For libraries set up with ASN Brodart will scan each item on a packing 
slip into a carton(s). Once packing is complete an EDI 856 ASN-
compliant transaction file is generated and a carton label is printed 
with a corresponding SSCC (Serial Shipment Container Code) barcode 
(see carton label image below – SSCC barcode outlined in red). The 
SSCC barcode number matches to the ASN transaction file. Upon 
shipment Brodart will transmit an EDI 856 ASN transaction file to the 
library. 
 
Upon receipt, with a scan of the SSCC barcode on the carton label, all 
the items in the box are marked as received in the library’s ILS 
system. There is no need for item-by-item scanning. This process

Credits and Returns 
Any item received damaged, defective, or not as ordered (wrong title supplied, short shipment, 
etc.) will be replaced or a credit will be issued. Freight costs for these returns will be covered by 
Brodart. All vendor errors will be handled in this manner. Requests to return items for any other 
reason will be handled on an individual basis. While we make every attempt to satisfy our 
customers regarding defective items, we ask that items showing normal wear and tear not be 
returned. Authorization from your Account Manager is necessary prior to returning any item(s). 
 
Management Reports 
Throughout your relationship with Brodart, you will find that we provide exemplary service and a 
commitment to assisting your library achieve and maintain its success. We offer a variety of 
documents to keep you informed of your order status. 
 
Packing Slip 
Brodart's packing slip, which includes the title, author, ISBN, quantity shipped, customer purchase 
order, and list price of each item, is packed in the last carton of every shipment. The carton 
indicates that a packing slip is enclosed. This packing document shows a control number, which 
can be matched with a corresponding invoice. 
 
Confirmation Report 
Confirmation of titles ordered as firm orders or standing orders can be supplied to the library 
when orders are entered. The Confirmation Report will include the author/editor, title, ISBN, list 
price, discount, extended price, and status (not yet published, out of print, must order direct) and 
is available via e-mail or FTP. The confirmation reports are generated by account number, and 
titles will be arranged alpha by author or by title. 
 
Orders transmitted via EDI will receive an EDI acknowledgment within an hour stating the status 
of each item ordered. Web site orders transmitted through Bibz, Brodart’s online collection 
development and ordering tool, will receive same-day order status information. 
 
On-Order Title Status Report 
Brodart offers a number of options for reporting order status information. The Order History tab 
in Bibz allows the library to access not only orders that have been submitted through Bibz, but 
also orders submitted to Brodart via EDI, telephone, or any other order method. A summary is 
provided indicating current status (entered, booked or closed). Orders may be searched and 
sorted to provide quick reference of specific details. Each order can be opened to show title level 
detail with current status information such as shipped, in process, back ordered, cancelled, etc. 
This can be used in place of or in conjunction with confirmation, status and cancellation reports. 
 
If preferred, the library can receive order status information via Brodart’s On-Order Title Status 
Report. This report will identify, by account number, the status of outstanding titles on order. 
This report includes the ISBN, quantity ordered, author, title, customer purchase order number, 
list price and order date. The On-Order Title Status Report is available weekly, monthly, or upon 
request via e-mail or FTP.

Cancellation Reports 
Brodart can automatically cancel backorders 270 days after the date the order was received. We 
notify all libraries of cancellations on a title-by-title basis. The Cancellation Report will include 
the ISBN, quantity ordered, author, title, list price, purchase order number, and the reason the 
title was cancelled. Cancellation reports are available weekly or monthly via e-mail or FTP. 
 
Statements 
Brodart customers receive monthly statements only when there is a balance due on their account. 
This statement includes the account’s billing address and Brodart bill-to account number. It also 
includes the invoice number, item date, purchase order number, item amount, and balance owed. 
 
Invoices and Payment 
Brodart offers a number of invoicing options:

an invoice to match every packing slip 
• 
a consolidated weekly invoice 
• 
a consolidated monthly invoice 
 
Invoices are available in paper or electronically via e-mail or FTP. Our invoices include the title, 
author, ISBN, publisher, published date, quantity, list price, discount, unit price, and extended 
price, appropriate sales tax as well as your purchase order number. Cataloging and processing 
charges can be either billed on a separate invoice or listed on an item invoice as a separate line 
item. EDI formatted invoices are available for orders sent to Brodart in an EDI formatted 
purchase order transaction. Our payment terms are net 30 days from the date of the invoice.

Phase 4 — Production 
Upon approval of all samples, your materials will begin their journey through the Production Phase. They enter Brodart's 
manufacturing system and make regular stops in various cataloging and processing quality control areas. During this phase 
your account manager will monitor the progress to make sure your materials are cataloged and processed according to 
your specifications and that we are meeting appropriate service times and fulfillment levels.

Phase 5 — Day to day Maintenance 
With the Day to Day Maintenance Phase, your account manager will monitor all ongoing aspects of your services. Your 
account manager will provide day-to-day support and will work with you to guarantee your expectations have been met. In 
addition our Management Team will meet on a regular basis to ensure all service levels and quality standards are within 
acceptable levels. Your local Library Services Consultant will schedule regular on-site visits to review our service and quality 
levels.

MCNAUGHTON BOOK LEASE 
 
Proposal for the Scottsdale Public Library 
 
 
  
Overview 
Brodart’s Book Leasing Service, McNaughton, has provided popular subscription plans tailored  
to meet the individual needs of libraries for over 60 Years. McNaughton’s monthly pre-pub annotated 
lists will help the library staff identify potential best sellers in anticipation of patron demand and to 
recommend titles that might appeal to local Book Clubs.    
 
With McNaughton, libraries can establish rotating collections of popular and bestselling material. New 
items are selected monthly from our annotated lists. We can help you establish a popular reading 
program, enhance an existing collection, or reduce your reserve list with multiple copies of high demand 
titles. McNaughton Lease program helps you fill holds, meet “Lucky Day” demand, and increase 
circulation. 
 
McNaughton accounts have access to Bibz, Brodart’s on-line collection development and acquisition 
website. Bibz is the industries’ only website designed for libraries that place orders for leased material. 
The Library can use Bibz to review McNaughton’s annotated lists, to confirm the availability of titles that 
may not have been previously reviewed by McNaughton and to manage the library’s acquisition 
workflow.  Bibz will provide the library with access to extensive title detail including cover images, 
availability, print runs and popularity.  Bibz provides 24/7 access to the status of previous McNaughton 
orders, a summary of the library’s current order, the number of allowances used and the current 
allowance balance.         
 
Each McNaughton Lease plan is credited with a specific number of allowances. These allowances are 
"spent" by ordering materials. The allowance amount required for a particular item is based on the 
publisher's list price (please refer to the Pricing Proposal in Attachment A for details).   
 
The McNaughton’s Lease program allows the library to encumber funds annually. All costs associated 
with ordering, Starter cataloging and processing, and shipping are included — along with return freight 
costs when the library no longer needs the additional leased copies.  The Library’s unused allowances 
are automatically rolled over to the Library’s next McNaughton Contract.  
 
Brodart builds partnerships with each library to gain a comprehensive understanding of their unique 
needs.  We welcome the opportunity to work with the Scottsdale Public Library.

Selections  
 
Monthly Selection Lists  
Brodart's McNaughton selection committee has earned the reputation of providing the very best pre-
publication selections and title/author information. Annotations are verified each month with the 
publisher to provide you with the most accurate and complete information available. Each month our 
lists include adult and teen bestsellers, debut authors, large print, fiction, genre, nonfiction, graphic 
novels, travel guides and more.  McNaughton selection lists can be reviewed in Bibz and downloaded in 
PDF or Excel format.  
 
McNaughton’s Adult List for January 2021 publications was posted to Bibz on October 8 and includes 
133 annotated titles.  A temporary Bibz login has been set up so that you can view this list as well as past 
McNaughton lists.  Go to www.bibz.com  (Username  = SAZBID   Password  = SAZBID)  and select 
MCNAUGHTON ADULT BOOK PLAN in the Product Dropdown list.  Then select LISTS in the Navigation 
Bar -  
 
 
 
First Edition Paperbacks  
Many popular titles, including Travel Guides and some Large Print titles, are published first in paperback 
rather than hardcover.  McNaughton is the only subscription service to pre-bind first edition paperbacks 
into hardcovers so that subscribers can order these titles through the hardcover subscription plan.  
 
Special Orders  
McNaughton also provides the library the ability to order “qualified” titles that have not appeared 
previously on a McNaughton List. The Library may use Bibz to confirm that the hardback, trade 
discounted titles are in stock or available to be back-ordered from the publisher.  Using Bibz, the library 
can place orders and monitor the status of special-order titles. McNaughton will provide cataloging and 
processing for these titles following Scottsdale Public Library’s specifications.       
 
Weekly New York Times (NYT) Best Sellers  
Each week McNaughton posts a list of New titles that made the NYT Best Seller Lists, to help keep you 
apprised of popular titles.  
 
Ordering Options  
Online  
Review, select, and order McNaughton titles online on Bibz, our 100% free ordering portal.  
Using Bibz, libraries can view the status of previous and current McNaughton orders, while monitoring 
the number of allowances used and current allowance balance.  
 
Brodart’s Bibz online ordering and collection development tool is designed for libraries to review, select 
and order lease books.  The library can use Bibz to designate which McNaughton Lease copies should be 
processed as a “MOST WANTED” copy.  Bibz title detail cites print runs, tours, major motion picture tie-
in, TV tie-in, debut novel, and journal reviews. Bibz contains information on authors' previous works,

which helps to predict popularity and patron demand when selecting prepublication titles. Please refer  
to the Bibz section start on page 12 of our proposal for a more detailed description of Bibz.   
 
Automatic Ordering Services 
New York Times - Automatic Bestseller Service – ABM 
If having all of the books on the New York Times bestseller list is important to your patrons, 
McNaughton's Automatic Bestseller Maintenance (ABM) program can assist with getting them on your 
shelves quickly.  
   
Each Thursday we receive a 10-day advanced notice from the New York Times about which titles will be 
featured on the list the following week.  With the McNaughton ABM plan we can place orders for the 
new titles and ship them to you so that the books are in your library before your patrons see them on 
the list. 
 
To maintain your bestseller supply, we establish a profile to determine when a title should be ordered 
and how many copies to order.  Profile options can be set to order additional copies of a title as it moves 
up on the list.  Separate profiles can be set up for fiction and nonfiction bestsellers.  Any books sent 
through the ABM service will be in addition to any copies that you order from the monthly McNaughton 
catalog prior to publication.  Your ABM profiles can be adjusted at any time by calling your Customer 
Care Associate.   
 
McNaughton – FASTips (Frequent Author and Series TIPS)  
McNaughton also offers standing orders for popular material based on author or series profiled with 
FASTips (Frequent Author & Series TIPS).  The profiling is very flexible and can accommodate unique 
needs.   Seamless interfacing with McNaughton’s monthly selection lists prevents duplication of orders. 
 
With McNaughton FASTips, the Library can set up a one-time profile of authors or series to be ordered 
automatically pre-publication through your McNaughton Lease plan.  Brodart’s FASTips profile will apply 
standard McNaughton provisions for qualified title selection - Brodart must have received a full trade 
discount from the publisher, titles must be hardbound and titles must be Adult Fiction or Nonfiction. 
Your profiles can be adjusted at any time by contacting your Customer Care Associate.

acquistions.  On-order records can be downloaded as MARC files for import into Polaris.  After the 
orders are submitted, they are visible with status information through the Order History tab of Bibz.

Cataloging and Processing 
The Scottsdale Public Library will receive MARC records with item records and linked barcodes according 
to your Polaris mapping specifications. Brodart's commitment to book-in-hand cataloging results in full-
level, accurate records. This means enhanced discoverability and better access for your patrons.    
 
McNaughton cataloging and processing includes our standard Starter level cataloging service which 
provides simple customization options for tailoring the MARC record, item record and local call number 
to your library’s requirements. Physical processing will include a barcode, mylar jacket, collection labels, 
application and linking of a Brodart supplied RFID tag and our distinctive McNaughton logo on a green, 
white or orange insert. The insert can be customized to include publication date, a classification number, 
genre and Cutter on the spine. The library location and the ISBN will also be printed on the McNaughton

The Scottsdale Public Library may upgrade the standard Starter cataloging and processing package for 
McNaughton to our Flex or Compleat level cataloging. Please refer to pages 21-25 for a description of 
our Compleat and Flex cataloging services. The additional charges for Flex and Compleat services would 
be invoiced monthly based on the actual number of McNaughton books that have been processed for 
the library.   
 
Pricing for all three levels of cataloging for your McNaughton Lease books has been provided in Pricing 
Proposal Attachment A. 
 
Allowances 
The Library’s McNaughton Proposal outlines pricing for a $29 allowance cut-off.  One allowance is 
required for each title retailing up to $29. Additional allowances will be deducted for higher priced 
books. For example, two allowances will be deducted for books with a publisher list price of $29.01. 
Each additional $10 increment is equivalent to one additional allowance. 
Lost or Stolen Items  
The Scottsdale Public Library will not be charged for lost or stolen books.  
 
 
Damaged or Defective Items  
No-charge replacements will be provided for damaged items up to six months after receipt, and 
publisher defects will be replaced with no time limitations. 
 
Inventory 
The library is permitted to retain leased items for as long as desired. However, as a guide for optimum 
inventory levels, we recommend retaining no more than twice the number of materials covered in your 
annual lease plan at any given time.  You may wish to purchase items that continue to circulate. Items

can be purchased for as little as $1.50 each, based on the quantity purchased. 
Retention  
Keep 50% of the titles you lease during one subscription period at no extra charge. This arrangement is 
made on an on-going basis and is reflected on your monthly management reports. Our retention policy 
is based on titles shipped rather than titles returned, so your library is guaranteed 50% retention each 
year. 
 
Shipping  
All in-stock titles are shipped within 48 hours. Our standard practice is to use best means freight, which 
analyzes each package for the most efficient way to send the individual shipment. Shipments may be 
delivered via USPS using bound/printed matter rate or UPSGround. 
 
 
All shipping costs to and from your library are included in the subscription price. We provide prepaid 
labels for the return of leased materials.  
 
If your library is part of a consortium or system, or if you have a single plan large enough to accumulate 
a shipment of 200 items or more, you may prefer the convenience of returns via motor freight, which 
can be arranged by your Brodart Customer Care Associate.

Juvenile Trade Hardcover: Published with a glued binding and a hardcover. Current popular fiction or nonfiction

Publisher’s Library Reinforced: Published with a high quality, usually fanned, sewn and glued binding. Sometimes

cover sheets that are wrapped around heavy hardback board.

BrodartGuard: Paperback reinforced with a 10-mil (2-mil spine) laminated cover.

Brodart Return and Credit Policies 
 
Before returning any material, customers must receive a return authorization from their Account 
Manager.  All material returns must be accompanied by a copy of the packing slip or invoice indicating 
the titles and quantities being returned and the reason for return.  All approved returns must be 
received at Brodart within three months of invoice date.  You have the option of receiving a no-charge 
replacement or credit.   
 
Publisher defective and/or damaged material can be returned upon request.  A no-charge replacement 
or credit memo will be generated.  Please identify the item as damaged and/or defective before packing 
for return to Brodart. 
 
If we at Brodart make an error relative to incorrect specifications, processing, Purchase Order Do-Not-
Exceed dollar amount, wrong title, or bind, we will accept the return of material without question and 
supply a postage-paid return mailing label.  You have the option of receiving a no-charge replacement or 
credit.  If you choose to receive a credit, please contact your Account Manager.  If you choose a no-
charge replacement, Brodart can re-order the material for you and adjust invoices accordingly.  Or, if the 
total retail price of the material is less than $50.00, simply return the items with a copy of your invoice 
or packing slip, note the problem, and deduct the amount from the invoice.  
 
Please note: any item ordered as a result of customer error, item canceled while in processing, or titles 
not suitable are non-returnable. 
 
Approval to return material that is not suitable because of subject or language not reflected in review 
sources will be handled on an individual basis at the time of request.  Approval in these situations will 
not allow for processing and/or freight charges to be refunded. 
 
Processed material and converted books where the correct title and correct processing are furnished, 
are non-returnable.  Items that have been marked, accessioned, or stamped by the library in any way 
are also non-returnable. 
 
A 15% handling fee may be applied for unauthorized returns to cover the cost of receiving and 
returning the material to inventory. 
 
This policy applies to all orders whether received by mail, telephone, or electronic transmission.
