D R A F T MINUTES GOVERNMENT SERVICES COMMITTEE CIVIC CENTER ANNEX VAULT CONFERENCE ROOM 5752 W. GLENN DR. GLENDALE, ARIZONA 85301 JANUARY 9, 2024 11:30 A.M. 1. CALL TO ORDER Chair Malnar called the meeting to order at 11:30 a.m. 2. ROLL CALL Present: Jamie Aldama, Councilmember Raymond Malnar, Councilmember Absent: Joyce Clark, Vice Mayor Also Present: Marcela Moreno, Deputy City Clerk Anne Thomson, Assistant to the City Clerk 3. CITIZEN COMMENTS There were no comments. 4. APPROVAL OF THE MINUTES a. Approval of the minutes of the December 12, 2023 Government Services Committee meeting Motioned by Councilmember Jamie Aldama, seconded by Councilmember Raymond Malnar to approve the December 12, 2023 Government Services Committee meeting minutes. AYE: Councilmember Jamie Aldama Councilmember Raymond Malnar Other: Vice Mayor Joyce Clark (ABSENT) Passed 5. NEW BUSINESS a. Discussion on the Board and Commission Annual Survey Ms. Moreno presented the Annual Board and Commission Survey. She asked if the GSC would like any changes to be done. The GSC discussed the survey questions and other possible formats. Chair Malnar confirmed consensus to continue to use the current version of the survey. b. Discussion of the Annual Board & Commission Appreciation Dinner Ms. Moreno said the Annual Board and Commission Appreciation Dinner was to be held at 5:30 p.m. on March 6, 2024 at the Adult Center. She presented three catering vendors for discussion and whether appreciation certificates should be distributed at the event. The GSC discussed the appreciation dinner details. Chair Malnar confirmed consensus to use Manuel's Mexican Restaurant to cater the event and that appreciation certificates should also be distributed. 6. MOTION TO ENTER INTO EXECUTIVE SESSION Motioned by Councilmember Jamie Aldama, seconded by Councilmember Raymond Malnar to hold an executive session. AYE: Councilmember Jamie Aldama Councilmember Raymond Malnar Other: Vice Mayor Joyce Clark (ABSENT) Passed 7. EXECUTIVE SESSION The Government Services Commission met in executive session at 11:35 a.m. for discussion and consideration of appointments and other items relating to various boards and commissions and other bodies pursuant to (A.R.S. 38-431.03(A)(1)). Motioned by Councilmember Jamie Aldama, seconded by Councilmember Raymond Malnar to adjourn the executive session.
