Scope of Work:

Our goal is to increase the number of people, both local and from out of town, attending our
Quilt Show. A new feature we would like to implement is the “Quilt Hunt Roundup”. With
money to increased advertisement across Arizona we hope to challenge locals and out of town
visitors to view as many mini quilts as possible which will be hanging in our local businesses
(from mid-November to the end of January). Each mini quilt will advertise our end of January
Quilt Show. Participants in the “Quilt Hunt Roundup” will have a passport listing participating
businesses and must get a stamp/sticker from each store visited. Once passports are
collected we will award prize baskets to winners; those participants who visited the most
businesses. The baskets will be filled with local merchandise and quilted items.

We feel this activity will benefit our Quilt Show attendance, as well as, increase the foot traffic
into the businesses in town.

Provide a brief description of your proposed program/event/activity. Include any
previous history, evidence that the event will take place in the Town of Wickenburg, any
partnerships with other groups/organizations and how the BTMG funds will be used

The Vulture Peak Patchers Quilt Guild is proposing a two part event.

The first part is the quilt show at the Wickenburg Community Center. Every two years since,
2010, the Vulture Peak Patchers Quilt Guild has put on a two day quilt show at the Wickenburg
Community Center in January. This event is our main fundraiser that supports our charitable
work for the following two years. In the past, the event has brought in between 750-1000
visitors per show, many of whom were from out of town. During the Quilt Show, we bring in
vendors and local food trucks as well as the beautiful display of quilts that are created by
members of the guild. We also offer hourly door prizes, raffle baskets, the opportunity quilt,
the Bazaar that includes newly made items and the Attic where people can buy slightly used
items. Both the Bazaf‘and the Attic are favorites among past visitors. There will also be a
display of our charitable quilt donations to the veterans, the hospital, the senior center and
local schools.

Part two is the Quilt Hunt Roundup. This is a new activity that will bring the quilt show visitors
into local businesses increasing foot traffic and supporting ‘Shop Wickenburg’. The quilt guild
members will be creating small wall quilts to hang at participating businesses in November.
Each quilt will include a flyer advertising the quilt show. The Quilt Hunt Roundup includes a
passport listing participating businesses where the wall quilts are hung. The participants will
then go to each business listed on the passport and receive a stamp. After the passports are
turned in, there will be a drawing for the prize baskets. This activity in turn will encourage
participants to ‘Shop Wickenburg’.

The funds for part one, the Quilt Show, include advertising in the way of a local banner, mailing
of bookmarks to quilt shops across Arizona and advertising in the Country Register that is
distributed throughout the United States and Canada. Advertising in the Wickenburg Sun to
attract more locals. Information regarding our Quilt Show will be sent to the other quilt groups/
guilds in Arizona.

The funds for part two, the Quilt Hunt Roundup includes the passports, flyers to advertise the
quilt show that will be placed on the wall quilts, prize baskets and posters to display in other
businesses around town. Flyers, announcing the Quilt Hunt Roundup, will be mailed to quilt
shops across Arizona.

Demonstrate the need for the proposed project/program

Our past records show that attendance was up during Pre-COVID years and dramatically lower
during Post-COVID years. We will expand our Quilt Show advertising to attract people from
out of town to visit not only the quilt show, but to use the Quilt Hunt Roundup to increase
visitors from out of town into our local businesses. We think the Hunt will entice attendees to
spend the night and encourage them to ‘Shop Wickenburg’. !t will then allow the participants
more time to get more stamps in their passports and attend the quilt show both days.

funded year and the number of Wickenburg residents who will be served

According to past records, the Quilt Show attracts both local quilters and non-quilters as well
as people from out of town. At the last quilt show a woman flew her plane into Wickenburg just

to attend the Quilt Show. Another time, a bus full of ladies came to our show from Sun City.
With the added Quilt Hunt Roundup and more advertising we are hoping to attract about 1000
people over the two day event. Our Quilt Show funds the materials needed to complete our
charity quilts that are given locally to the hospital, schools, the senior center and veterans. We
also provide quilts to local organizations to support their fund raising events. In the past we
have donated large quilts to be raffled/auctioned by the Del Web Center, the Museum, Boyds
Ranch, the Breast Cancer Walk, the Wickenburg Community Hospital and the Humane Society.

Identify one goal and three measurable objectives which will be met by the project

Goals: Increase the attendance at the quilt show and to determine whether the Quilt Hunt
Roundup increased business foot traffic by both local and visitors from out of town.

Measurable Objectives: At the door, we will tally the Quilt Show attendees as local or out of
town visitors. We will develop a survey to give the businesses asking if they noticed if there
was more foot traffic. We can also tally the number of participants through the passports.
These passports will be turned in to determine who wins the prizes. We will also ask the hotels
to keep track of number of visitors that might be in town for the Quilt Show.

Provide evidence of other leverage resources

If we do not receive the grant, we have resources to put on the Quilt Show. We would be
limited on the amount of mailings to quilt shops and other quilting groups. Since this is the first
year we are doing the Quilt Hunt Roundup, we have no resources budgeted for this event. We
would still put up the wall quilts at the businesses, but not include the passports for the
Roundup.

Attached is our annual summary of the Comfort Quilt Distribution
for the 2024 year.

As a 501(c)(3) organization the Vulture Peak Patchers Quilt Guild
makes quilts for those in need. Locally quilts are donated to the
hospital, the senior center, and our schools. Each November we
give patriotic quilts to veterans to thank them for their service.
Quilts are given to Project Linus and Wheels for the World.
Special quilts are made and donated to other local charities to
raffle or auction to raise monies for their own causes. Often we
are asked to donate a quilt for a retiring police chief or fire chief.
We have partnered with Habitat for Humanity to provide quilts for
each family member. Guild members donate knitted or crocheted
items to local causes. We even make pet beds using our scrap
fabric which go to the local animal shelters.

Our members purchase their own material and pattern for a
comfort quilt. They then spend the time cutting and piecing
together the quilt top. The guild then provides batting and
backing for the quilt, and the member quilts the three layers
together, and finally binds the edges. Each quilt is made with a
lot of time and love.

What’s New

Line 3a has been modified to clarify how a disregarded entity completes
