ACTION:  Approve a one-year sole-source contract renewal with Versaterm Inc. for maintenance and 
support services for the Police Department’s integrated public safety software solution.
FISCAL IMPACT:  The total cost of this one-year contract shall not exceed $566,130. Sufficient funds 
have been appropriated in General Fund, Cost Center 1971 (Information Technology Administration), 
for anticipated expenditures during the current fiscal year and next fiscal year, contingent upon City 
Council approval of the City’s annual budget.
RECOMMENDATION:  Approve the contract renewal.
 
BACKGROUND INFORMATION:  (IT09-039-01) City Council awarded this legacy contract on 
November 19, 2009, as a result of a competitive Request for Proposal process. The award included the 
implementation/warranty period and four one-year renewal options that have long been exhausted and 
since then the City has designated all maintenance/support options as a sole source due to the copyright 
protection that is afforded Versaterm for this solution.   Only Versaterm has the capability and authority 
to offer support services for this software.
The Police Department relies upon the continued and uninterrupted operation of the integrated public 
safety system to support its daily operations. This solution was developed and implemented by 
Versaterm and as a result requires the continued use of their technical expertise for ongoing software 
support and maintenance.
