Meeting Minutes Mayor’s Youth Commission Regular Meeting September 13, 2022, 6:00 p.m. 5th Floor Conference Room 175 S. MAYOR HARTKE introduced himself to the commission to discuss what he does for the city and his vision for the city. COMISSIONER TECK-ONG asked MAYOR HARTKE what the favorite part of his job is. MAYOR HARTKE talked about how he loves being able to help the city, and how he wanted to implement long term policies benefiting the city and its residents. Unscheduled Public Appearances None. Consent Agenda 2. August 9, 2022 Minutes. Approval of the August 9, 2022 Mayor’s Youth Commission minutes. Consent Agenda Motion and Vote COMMISSIONER DUPATI moved to approve the Consent Agenda of the September 13, 2022, Mayor's Youth Commission Meeting, Seconded by COMMISSIONER SHAE LEE. Motion carried unanimously (15-0-4). Briefing 3. Open Meeting Laws Training ALEXIS APODACA introduced KELLY SCHWAB, City Attorney and VICTORIA ROEDIG, City Records Management Coordinator, to facilitate an Open Meeting Laws presentation for Commissioners. KELLY SCHWAB provided a presentation to facilitate Open Meeting Laws and legal requirements of being a public body. MRS. SCHWAB discussed the importance of not replying all to emails, the requirements that come with meeting as a body, and the importance of ensuring that Open Meeting Laws are adhered to. MRS. SCHWAB discussed common mistakes/pitfalls that commissioners must keep in mind to stay in compliance with the law to ensure public transparency. VICTORIA ROEDIG discussed what constitutes public records, and public record retention laws. 4. Volunteer Opportunity – Contigo Kick-Off COMMISSIONER BHARATI discusses a volunteer opportunity at the Contigo festival. It will be Saturday, September 17th and will be two shifts - event greeters and trash assistance. COMMISSIONER NIGAM will be the volunteer lead from 4:30-9 at the Contigo festival. Page 2 of 4 5. Volunteer Opportunity – For Our City Day CHAIR HIYUN LEE discusses the Mayors Youth Commission October volunteer opportunity - For Our City Day. Commissioners will assist Neighborhood Resources staff in overseeing 6-7 volunteer projects and acting as the day managers. There is an optional party afterwards noon to 2pm. More information will be provided at the October MYC meeting. Discussion 6. League of Arizona Cities and Towns Conference Debrief COMMISSIONER DUPATI provided a debrief of the League of Arizona Cities and Towns Conference. Commissioners listened to speeches from different speakers, met other Youth Commissions, and got to know one another better. COMMISSIONER PATEL discussed how she learned more about mental health awareness and self confidence. 7. Teen Leadership Academy Planning COMMISSIONER BHARATI discusses the timeline and overview for the Teen Leadership Academy. The goal is to educate younger students about the government of the city. ALEXIS APODACA discussed the resources that are available to commissioners as they work to plan the event, and walked through the city org chart. CHAIR HIYUN LEE broke the Commission into planning groups and briefed the group on a few ideas that she's brainstormed so far. She encouraged the group to think of more ideas and wants them to have a lot of freedom through the planning process. CHAIR HIYUN LEE then opeed up the floor for ideas, which included a meet and greet with Mayor and Council, team lifeline, speakers from league of AZ Cities, a civic engagement competition/ trivia, Ted Talks, tour water management center and police department, jeopardy, career development, hands on leadership activities, museum tour, mock debates, JA Biztown Parody, and financial advice. CHAIR HIYUN LEE ended with a discussion how to legally collaborate on this project. Member Comments/Announcements COMMISSIONER GONZALES asked for the location of the Contigo festival Calendar 8.
