MINUTES OF THE CHANDLER CULTURAL FOUNDATION SPECIAL EVENTS SUBCOMMITTEE MEETING TUESDAY, MARCH 7, 2023 8:00 a.m. PRESENT: Julia Marreel, Jennifer Sanchez, Jeanne Forbis, Sherida McMullan, Erika Castro, Renee Levin, Candy Yu ABSENT: Patti Serrano, Alex Palmatier STAFF: Debbie Rubenstrunk, Judi Johnson, Cynde Cerf GUESTS: None Members of the Chandler Cultural Foundation Special Events Subcommittee convened at the above- stated date and time for a special events committee meeting. CALL TO ORDER: The meeting was called to order at 8:02 a.m. by Julia Marreel. APPROVAL OF MINUTES Jeanne Forbis motioned to approve the minutes of the October 27, 2022 meeting. Sherida McMullan seconded the motion. The minutes were approved as written. BRIEFING/DISCUSSION ITEMS Tickets: They discussed raising the individual ticket price to $200 with corporate tables starting at $2,500 Entertainment: They discussed having Sammy Miller and the Congregation for entertainment. Emcees: The committee talked about having a board member as the emcee and asking Sandra Bassett to do the Live Ask. They want to make sure the video and Live Ask are focused on sustainability and tied to the strategic plan. Food, Beverage & Decorating: They discussed having table favors like two tickets to a choice of specific Center performances. They would also like mission-related images spread throughout the lobby, mystery items, and dining tables. Mystery Boxes: Since the boxes sell so fast, the committee wants to do tiered amounts for the Mystery Boxes: $100, $150 & $300. The higher-value boxes would be placed on separate tables. Each committee member is asked to provide five Mystery Boxes - breakdown TBD General Notes: They would like a later start time to include churchgoers. They also discussed that they would set up the mainstage on Saturday and prep the mystery box tables in the recital hall. A tentative timeline was also established for the day with doors opening at 11:30 a.m. for Mimosas, Music, and Mingling followed by opening Mystery Box sales at noon. The lunch and Live Ask would start at 12:45 p.m. followed by the private concert starting at 2:15 p.m. MEMBER COMMENTS/ANNOUNCEMENTS The committee’s next meeting will be on Tuesday, April 4, 2023 at 8:02 a.m. With no other business to discuss, the meeting adjourned at 9:18 a.m. ____________________________________________________ Judi Johnson, Marketing Coordinator
