Meeting Minutes Chandler Museum Foundation Regular Meeting June 16, 2025| 5:30 p.m. Chandler Museum, Saguaro Room 300 S. City of Chandler Mayor Hartke thanked the Chandler Museum Foundation Board for their service. Mayor Hartke then spoke on the upcoming bond election, the importance of the election, the importance of researching what is in the bond, and the importance of advocating for truth about the bond. Finally, Mayor Hartke answered questions about the bond election issues and charter questions Page 2 of 5 Consent Agenda 1. Approval of Minutes from May 19, 2025 Chandler Museum Foundation Board Meeting • Jacki Ryan made a motion to approve of minutes from May 19, 2025 Chandler Museum Foundation Board Meeting • Calvenea Malloy seconded the motion. • Motion carried unanimously (10-0). The minutes were approved as presented. Action Agenda 2. Approve Chandler Museum Foundation FY 2025-2026 Proposed Budget • Calvenea Malloy made a motion to approve budget. • Mary Cimaglio seconded the motion. • Motion carried unanimously (10-0). The budget was approved as presented. 3. Approve New FY 2025-2026 Foundation Meeting Days and Times • Mary Cimaglio made a motion to approve days and times. • Jacki Ryan seconded the motion. • Jody Crago presented proposal to move Chandler Museum Foundation Board meetings to the first Tuesday of each month at 5:30 p.m. • Motion carried unanimously (10-0). The schedule change was approved as presented. Discussion 4. Presentation of Signature Exhibition Fundraising Budget • Sarah Biggerstaff presented planned exhibitions through 2030. • Sarah Biggerstaff then presented a tiered fundraising proposal with an example itemized list of options for donors to support. • Jody Crago encouraged any Board members who visited museums and found something interesting to share it with staff. • Jacki Ryan asked Jody Crago to explain to new Board members how exhibitions have been funded in the past. o Jody Crago explained how the City of Chandler supports the daily running of the museum and provides some funds for exhibitions, then pointed out how exhibitions can be stepped up if additional funding is added. 5. Fall Special Event Update • Jacki Ryan shared about the work she has been doing to plan for the fall fundraising event. o Creating lists of supplies/services that will be needed o Planning experiences and activities for visitors Page 3 of 5 o Fundraising opportunities o Event agenda o Planning formal invitations • Jacki Ryan requested for Board members to contribute the following by the August 5, 2025 Meeting: o 20-person invitation lists o Idea for silent auction items ($100+ value) • Jody Crago gave each Board member a button to wear to help advertise the event. 6. Marketing Workgroup Update • Jacki Ryan showed the Board the new CMF rack card • Calvenea Malloy attended the Culture Music in the Park event on Saturday, June 14 7. Museum Manager’s Update • Museum Store and Rental Coordinator, Elizabeth Olson had her last day at the museum on Friday, June 13 and has moved over to the Chandler Center for the Arts. o Her position will be reorganized into 2 part-time front desk personal and a full- time management assistant. o The part-time positions are posted as of the time of this meeting. • The Museum will have a poster advertisement at the Chandler Fashion Center in front of Macy’s for 3 months. This slot was acquired at a discount of $3000 in total. • The Museum has had/will have multiple coverages by major news networks: o KJZZ interviewed Jody Crago and Bill Staples for a story about Gaman that will air in October o KJZZ did a small piece on Pony Up! o ABC interviewed Jody Crago for a story about Gaman that aired 5/29 o PBS Arizona Horizons will interview Sarah Biggerstaff for a story about Pony Up! that will air mid-July • Work continues on the upcoming OA+D exhibition. • Jody Crago will be going on a 2 week vacation starting 6/17. Peter Bugg will be manager on duty until his return. • The presentation on signature exhibition fundraising budget is on LiveBinders Briefing None. Member Comments Page 4 of 5 8. Next Museum Foundation Executive Subcommittee Meeting will be August 6, 2025, at 2:00 p.m. at the Chandler Museum. 10. Next Museum Foundation Governance Subcommittee Meeting will be August 11, 2025, at 10:00 a.m. at the Chandler Museum. 11. Next Museum Foundation Board Meeting will be August 18, 2025, at 5:30 p.m. at the Chandler Museum. 12. Next Museum Foundation Finance Subcommittee Meeting will be August 26, 2025, at 3:30 p.m. at the Chandler Museum. 13.
